Roles and permissions

The built-in Owner, Manager and Cashier roles, every permission you can give a custom role, and how manager PIN approvals work.

How access works

Every staff member has a role — at all stores or at one store. A person can have different roles at different stores. What they see is the overlap of their role and your plan: a menu item only appears when both allow it.

The built-in roles

RoleWhat it can do
OwnerEverything, including billing and staff. Can't be removed.
ManagerSells, discounts, voids, refunds, opens the drawer, runs shifts, opens the back office from the register, fuel prices, items and prices, customers, stock, purchasing, workforce, dashboard and reports.
CashierSells at the register, runs pumps, views items and customers.

You can edit Manager and Cashier, or add your own roles, in Administration → Staff & roles → Roles.

Manager PIN approvals at the register

When a cashier lacks a permission — a void, a refund, a price change, a big discount, a No sale — the register asks a manager to tap their name and type their PIN on the spot. The sale continues, and the Activity log records who asked and who approved.

Adding a person

Administration → Staff & roles → Add staff: full name, email, temporary password (they choose their own at first sign-in), role and store (or all stores) and a register PIN. People who only use the register still need a login, but never need to use the back office.
