1. The chart of accounts

Open ERP → Accounting. A convenience-store chart of accounts is created on first use. Add accounts under Chart of accounts; each one shows its balance and ledger.

Tip: If you had stock before turning accounting on, use Match inventory to stock once.

2. What posts automatically

  • Register sales and refunds by tender (cash, card, EBT, gift card, house account) with sales tax.
  • Cost of goods and shrink from the stock ledger.
  • Goods received, vendor bills and returns; fuel deliveries and fuel cost of sales.
  • Shift over/short, paid in/out, lottery payouts and tips owed to staff.

You only enter what LeisureNexus cannot know — for example rent — as a manual journal. Entries must balance; mistakes are fixed with a reversal, never by editing.

3. Pay bills

Bills to pay shows AP aging. Select one vendor's bills and pay by check, ACH or cash.

4. Bank and deposits

  1. Record deposits under Bank & close: cash, checks and card/EBT settlements less fees.
  2. Import the bank's CSV statement. Lines are matched automatically when exactly one book line fits within 5 days.
  3. Match the rest by hand, or Book it for fees and interest.

5. Close the month

Choose Close through a date. Anything posted later for a closed day lands on the first open day. The owner can reopen. Optionally require approval of manual journals by a second person.

6. Reports and export

Accounting → Reports: P&L (with a column per store), balance sheet, trial balance, sales tax by jurisdiction and excise. Under Bank & close → Export for your accountant, download the chart and journal for QuickBooks Online or Xero.
