How payments work

LeisureNexus Payments connects your registers to a cloud card reader. When the cashier chooses Card, the server records the attempt, sends it to the reader and waits for approval. The register only completes the sale with an approved payment — so a sale can never claim a card payment that did not happen.

1. Your payments account

Your merchant account is set up with you during onboarding. The keys are saved write-only, so nobody can read them back. If your account is locked by LeisureNexus support, you will see the status under Point of sale → Payments but cannot change it.

2. Add card readers

  1. Open Point of sale → Payments → Card readers and choose Add reader.
  2. Pick the reader model and enter its device ID from the reader's screen.
  3. Under Where, choose the register it serves — or a pump for pay at the pump.
  4. Use Test to send a small test charge and void it.

3. Turn on what you need

  • Tips: Settings → Your business → Tips — suggested percentages; tips are charged with the card.
  • Cash discount: Point of sale → Payments → Cash discount — card price percentage (up to 4%) and the label customers see. The register shows both totals.
  • EBT: available for grocery carts and convenience stores; mark SNAP-eligible items in the catalog.
  • Online payments: under Online ordering, choose Payment off, optional or required, and a deposit % for bookings.

4. Split payments

At the register, any combination works: $10.00 = $5.00 cash + $5.00 card, cash + EBT, card + EBT, or an even split across guests. Each part is recorded as its own tender.

5. Voids, refunds and settlements

  • Voiding a sale voids the card payment; refunds go back to the same card.
  • An approved payment with no finished sale after 10 minutes is flagged on the dashboard under Card payments without a sale, so you can void it or finish the sale.
  • Deposits under ERP → Accounting → Bank & close record card settlements less fees.

Tip: Card amounts ending in .51 are declined on the practice (simulator) account — handy for training staff.
