1. Turn on Rental

Administration → Your business → tick Rental. Rentals appears in the back office and on the register.

2. Rates and deposit

Catalog → Items → each item you rent → tick Rented out and set its rates by the hour, day and/or week, the deposit and the grace minutes before a late fee starts.

3. Your units

Point of sale → Rentals → Add a unit for each one you own: Bike 1, Bike 2, with serial numbers. A unit can be in maintenance (not rented) or retired.

4. Renting out (register)

Add the customer to the sale, then Rentals → New rental: pick the units and when they come back. The price is the cheapest mix of the rates. Note the condition (the damage check), then:

ButtonUse
Hand over & ring upThe rent and the deposit go on the sale now
Later (book it)Book it for later — Book & take deposit or Book without a deposit
Hand overA booked rental the customer has come for

A unit is never booked or handed over twice for the same time.

5. Checking in

Rentals → Check in: Came back fine or Damaged (with a damage charge and a note; the unit goes to maintenance). Time past the due time and the grace minutes is charged at the same rates. Late and damage charges come off the deposit first; the rest goes back as Cash from the drawer or as Store credit.

Example: a bike rented for a day comes back two hours late; the late time is charged at the bike's rates and taken from the deposit, and the rest of the deposit is paid back in cash.

6. Availability and contracts

Point of sale → Rentals: the Availability calendar shows every unit by day, with overdue ones in red, and the list of rentals shows each contract as booked, out, overdue, returned or cancelled.
