Before you start

  • The Fuel add-on on your subscription ($49 per fuel store per month).
  • Your business type includes Gas station (Settings → Your business) and the store is marked Sells fuel (Settings → Stores).
  • The store agent installed on a PC at the store if you use a real pump controller (see Hardware & store agent).

1. Quick setup

  1. Open Point of sale → Fuel & pumps → Setup.
  2. Choose Quick setup, enter how many pumps and which grades you sell (for example Regular, Plus, Premium, Diesel).
  3. LeisureNexus creates the grades (with their own motor-fuel tax group), tanks, pumps and hoses. Adjust anything afterwards.

2. Prices

  1. Under Prices, set the cash and credit price per gallon for each grade (three decimals, e.g. $3.459).
  2. Schedule a change for a future date and time, or apply it now. Prices go to the pumps through the controller.

Tip: Pump prices include fuel taxes. Fuel lines get no added sales tax, no promotions and no SNAP.

3. Connect the controller

  1. Choose the controller under Setup → Controller: the simulator for training, or your brand (for example PTS-2).
  2. Pair the store agent with the token shown, then enter the controller's address on the agent.
  3. The pump bar on the register marked Controls the pumps goes live.

4. Sell fuel at the register

  • Postpay: the customer pumps, then the cashier taps the pump and adds it to the sale. Each pump sale can be paid once only.
  • Prepay: tap the pump → Prepay → amount → take payment → the pump is authorized for that amount. If the customer pumps less, Give change returns cash; card prepays are refunded automatically.
  • Stop all is always available in an emergency.

5. Pay at the pump

  1. Add an outdoor card reader under Point of sale → Payments and set Where to the pump.
  2. Set the hold amount (default $100) under Fuel → Setup.
  3. The reader pre-authorizes, the pump is released, and when the nozzle is hung up only the pumped amount is captured. These sales appear on the automatic Pay at pump register.

6. Tanks, deliveries and reports

  • Record deliveries with the bill of lading; link the vendor to put the bill in Bills to pay.
  • Enter stick readings or let the tank gauge report them. Variance over 0.5% raises an alert.
  • Reports → Fuel shows gallons and dollars by grade and pump, margin per gallon and pumped-but-unpaid fuel.
