Set up and use the POS register
Pair a device, set cashier PINs, open a shift, ring up sales, take payments and close the day.
Before you start
- A store set up in the back office (Settings → Stores).
- Items in your catalog, or at least a few departments (see Items & catalog).
- A Windows PC, Android terminal or tablet with Chrome or Edge.
Tip: Your plan includes 2 registers per store on POS and 3 on POS + ERP. Extra registers can be added at any time.
1. Add the register in the back office
- Sign in at manager.leisurenexus.app as the owner or a manager.
- Open Point of sale → Registers and choose Add register. Give it a clear name such as "Front counter 1".
- If the store sells fuel, tick Controls the pumps on the register that should show the pump bar.
2. Pair the device
- On the register row, choose Pair device. A one-time pairing code is shown.
- On the device, open pos.leisurenexus.app (or choose Open the register on this device).
- Enter the code. The device is now that register — it uses a secure device token, never a staff password.
- Choose Install register app on the lock screen so it opens full-screen like a native app.
3. Give each cashier a PIN
- Go to Administration → Staff & roles and add your team with the right role (Owner, Manager, Cashier or a custom role).
- Each person sets a 4–6 digit register PIN under Account security. Weak PINs such as 1234 are refused, and repeated wrong PINs lock the PIN.
4. Open a shift
- At the register, enter your PIN and choose Open shift.
- Count the starting cash in the drawer and confirm the opening amount.
5. Ring up a sale
- Scan a barcode, or type a PLU (4–5 digits) and press Enter.
- Tap a quick key or department key for items without barcodes (open-price department sales are allowed).
- Use Search to find an item by name, then tap it.
- Change quantity, apply a discount (per line or whole sale), or attach a customer for loyalty and house accounts.
- Age-restricted items prompt for an ID check automatically — see Restricted sales.
6. Take payment
- Choose Pay. Pick Cash, Card, EBT, Gift card, Store credit or House account.
- To split, use Pay part (any amount by any method), Split evenly (2–8 guests) or Separate checks (pick lines for each check).
- Cash shows the change due; card payments go to the card reader and the register waits for approval.
- Print the receipt, or choose Email or text receipt.
7. Refunds, voids and holds
- Refund with receipt: money goes back the way it was paid (EBT, then card, then house account, then cash) at the original price and tax.
- Refund without receipt: regular price, paid in cash, and needs the refund permission or a manager PIN.
- Hold a sale to serve another customer, then Recall it.
8. Close the shift
- Open the Shift menu → Close shift.
- Count the drawer (the close is blind — the expected amount is not shown first).
- The Z report shows sales, tenders, refunds, safe drops, paid ins/outs and over/short.
When the internet drops
Keep selling. The register stores sales on the device and shows how many are waiting. When the connection returns, they are sent automatically and the server re-checks every price. Card payments need a connection; cash, EBT offline rules and house accounts follow your settings.
Do not clear the browser data on a register that still has unsent sales — the shift menu shows the count.
